BetterFlow Privacy Policy

BetterFlow helps service businesses manage booking, scheduling, customers, estimates, invoices, notifications, and payments. This Privacy Policy explains how BetterFlow collects, uses, stores, protects, shares, retains, and deletes information, including Google user data used by our Google Calendar integration.

Information We Collect

We collect account information you provide to BetterFlow, such as your name, business name, email address, phone number, login information, customer records, appointment details, estimates, invoices, payment-related information, and support requests. We also collect usage, device, analytics, and security information needed to operate, protect, and improve BetterFlow.

Google Calendar Data Accessed

If you choose to connect Google Calendar, BetterFlow requests access to create, update, and delete calendar events related to appointments managed in BetterFlow. Depending on your Google consent and account response, BetterFlow may access or store the following Google user data:

  • Your Google account email address or basic account identifier returned during authorization.
  • Google Calendar authorization tokens needed to maintain the connection.
  • The calendar identifier used for syncing, typically your primary calendar.
  • Calendar event identifiers, event links, sync timestamps, and sync error information for BetterFlow-created appointment events.
  • Appointment event details that BetterFlow sends to Google Calendar, such as title, appointment date and time, customer or attendee information, notes, location, and related booking details.

BetterFlow does not use Google Calendar access to read unrelated calendar events for advertising, profiling, or resale. BetterFlow's Google Calendar integration is intended to sync BetterFlow appointment events to the calendar account you choose to connect.

How We Use Google User Data

BetterFlow uses Google user data only to provide and maintain the calendar sync feature you request. Specifically, we use Google Calendar access to:

  • Connect your BetterFlow account to your selected Google account.
  • Create appointment events in your Google Calendar when appointments are created in BetterFlow.
  • Update Google Calendar events when BetterFlow appointments change.
  • Delete or stop syncing Google Calendar events when appointments are canceled, deleted, or when you disconnect Google Calendar.
  • Display connection status, connected email address, calendar sync status, and troubleshooting information inside BetterFlow.

BetterFlow does not use Google user data to train artificial intelligence or machine learning models. BetterFlow does not use Google user data for advertising. BetterFlow's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data Sharing

BetterFlow does not sell Google user data. BetterFlow does not share Google Calendar data with third parties for advertising or marketing. We may share limited information with service providers who help us operate BetterFlow, such as cloud hosting, database, logging, security, customer support, payment, email delivery, and infrastructure providers. These providers are used only to operate and support BetterFlow and are not permitted to use Google user data for their own purposes.

We may disclose information if required by law, to protect our users or services, to investigate abuse or security issues, or in connection with a business transaction such as a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality and data protection safeguards.

Data Storage and Protection

BetterFlow uses administrative, technical, and organizational safeguards designed to protect user data. Google Calendar refresh tokens are stored in encrypted form. We use access controls, secure transport where supported, monitoring, and limited internal access to protect account and integration data. No method of transmission or storage is perfectly secure, but we work to protect information from unauthorized access, disclosure, alteration, or destruction.

Data Retention and Deletion

BetterFlow retains account and business data for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, and enforce agreements. Google Calendar connection data is retained while your calendar integration remains connected or as otherwise needed for security, troubleshooting, and legal compliance.

You can disconnect Google Calendar from BetterFlow in your account's calendar or integration settings. Disconnecting removes the stored Google Calendar authorization token from BetterFlow and stops future appointment syncing. Some historical records, such as appointment records, event identifiers, logs, or audit records, may be retained for legitimate business, security, or legal reasons unless deletion is required by applicable law.

To request deletion of your BetterFlow account data or Google Calendar connection data, contact us at contact@betterflow.net. You may also revoke BetterFlow's Google access from your Google Account permissions page.

Your Choices

You are not required to connect Google Calendar to use all BetterFlow features. If you connect Google Calendar, you may disconnect it at any time from BetterFlow. You may also manage or revoke Google permissions directly from your Google Account.
